This policy explains how personal data is handled when you visit the Hotelnity public website or contact us about a demo, pilot or commercial conversation.

1. Who is responsible for your data
The data controller for the Hotelnity public website and the contact requests submitted through it is SmashSoft S.L., operating under the Neocody brand and responsible for the development of Hotelnity in Spain.

2. Data we collect
When you request a demo or contact us, we process the information you provide directly: your name, company or hotel, work email address and, if you choose to provide them, your role and message.
Our hosting and security infrastructure may also process limited technical information generated by your connection, such as IP address, date and time of the request, browser or user-agent information and basic server logs, where this is necessary to operate and protect the website.
3. Why we use your data and legal bases
We use contact-form data to answer your request, arrange a demo, discuss a possible pilot and take steps requested by you before entering into a potential business relationship. Where applicable, this processing is based on steps taken at your request prior to a contract (Article 6(1)(b) GDPR).
We may also process limited business-contact and technical information on the basis of our legitimate interests in managing B2B enquiries, securing the website, preventing abuse and keeping appropriate records of commercial conversations (Article 6(1)(f) GDPR). Where a legal obligation applies, processing may also rely on Article 6(1)(c) GDPR.
We do not use the data submitted through the Hotelnity form for unrelated advertising and we do not sell personal data.
4. Recipients and international transfers
Personal data may be accessed by service providers that support our hosting, infrastructure, communications or software operations, acting under appropriate contractual and confidentiality obligations where required.
We do not disclose your personal data to third parties for their own commercial purposes. If a provider involves an international transfer of personal data outside the European Economic Area, we will rely on an applicable adequacy decision or other safeguards recognised by data-protection law.
5. How long we keep the data
Contact and demo-request data is kept for the time reasonably necessary to answer and follow up on the request and, where a business relationship develops, for the period needed to manage that relationship.
After that, information may be retained or blocked only for the periods necessary to comply with legal obligations or to establish, exercise or defend legal claims. Technical logs are retained only for the operational and security periods that are reasonably necessary for their purpose.
6. Your rights
Subject to the conditions established by applicable law, you may request access to your personal data, rectification of inaccurate data, erasure, restriction of processing, portability where applicable, or object to processing based on legitimate interests.
To exercise these rights, contact info@neocody.com and identify the request sufficiently for us to process it. You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD) or another competent supervisory authority.
7. Cookies and analytics
Hotelnity uses Google Analytics 4 only after you actively accept analytics in the cookie banner. Before consent, the Google Analytics tag is not loaded and analytics cookies are not set by Hotelnity.
When analytics is enabled, Google Analytics may process website usage information such as page views, interaction events, approximate geographic information and browser or device information. We use this information in aggregate to understand website performance, improve content and measure genuine lead generation such as successful demo requests.
You can reject analytics as easily as you accept it and can change your choice later through Cookie settings in the footer. More detail is available in our Cookie Policy.
8. Security, changes and contact
We apply reasonable technical and organisational measures intended to protect personal data and limit access to people and providers that need it for the purposes described above.
